Dear all,

I’ve just noticed that the hyperlinks have disappeared in my email last night, so here is another try.

In light of this year’s annual CLARIN conference in Leipzig, Germany, we are conducting our yearly overview of User Involvement activities and events carried out by the national consortia. We are interested in all types of your awareness-raising, educational and outreach events that have taken place or are yet to take place in the period between last year’s conference in Pisa (8-10 October 2018) and this year’s conference (30 September – 2 October 2019).

We kindly ask all the national UI representatives and/or National Coordinators to fill in either this Google form<https://docs.google.com/forms/d/e/1FAIpQLSen-L4VPH15pR16-ZTjb-IDxL3SKWXdY-Oc0cv8Z2PT6905lA/viewform> or this Google spreadsheet<https://docs.google.com/spreadsheets/d/1aRC42c4pvquI6ylCmVufHWj9dsh37VjgoMcSJs0ZIEo/edit#gid=1220824509> with the relevant information pertaining to the events and activities that have been organized by their consortia. We need your input by *13 September*. We would like to emphasise that this overview is of utmost importance for the annual CLARIN ERIC report on User Involvement that will be presented at the annual conference, to the Scientific Advisory Board and to the General Assembly.

Based on your reporting in previous years, we have noticed a certain level of unclarity of some of our questions that result in differences in reporting results, so we have tried to provide some guidelines for the problematic categories that we would like you to take into account this time:

- Number of people involved: please report on the number of people actually involved in your event or activity (e.g. the number of people present in the audience for most of the CLARIN programme/activity/poster, not the total number of participants if your contribution was part of a bigger event).
- CLARIN or externally organized: was the main initiator and organizer of the event/activity the national CLARIN consortium or one/a few of CLARIN consortium partners? was the event/activity initiated and organized by another organization while CLARIN was just invited collaborate with a specific contribution? was the event/activity a joint effort during which equal responsibility was shared between the national CLARIN consortium and other organizations?
- Type of activity: please use the categories listed in the drop-down list in Google Form. If using the Google spreadsheet, please select one of the categories listed below. If none apply, select other and specify.
o Organization: workshop, seminar or similar
Select this category if your consortium’s main focus was the organization of a user-involvement event, such as an outreach workshop, or if your consortium collaborated with another institution in the organisation of such an event.
o Teaching: lecture, course, seminar, tutorial or similar
Select this category if your consortium’s main focus was a teaching activity. For instance, teaching a CLARIN-related course at a summer school.
  o Academic dissemination
This category relates to conference talks, posters, papers and theses which present CLARIN, report and solve CLARIN-related issues, or research that uses the CLARIN infrastructure.
  o Media dissemination
Select this category if your consortium was featured in the mass media, such as articles on your consortium’s work or events in newspapers, magazines or blogs, interviews conducted with a researcher using your infrastructure or with your core team, etc.
  o Other
Select this category if no other category applies and briefly describe the nature of your event.
- Academic disciplines and domains: check all that are relevant.
- Languages involved: as object of training/event/activity, not as medium. Use 3-letter ISO codes.
- Countries involved: list the countries that were involved in the organization of the events as well as the countries which the participants came from.

If you have any questions or comments, do not hesitate to get in touch.

Best,
Darja Fišer
